How a company number becomes a join

The number is the join

A company number is printed by Companies House on a filing. When that same number is printed on a council paper, a contract notice, a donation row, or a title, the two records can be attached. The attachment cites the file that carried the number. You can open the original. That is a join. It is not a guess.

A supplier name in a payment row is not a number. Trading names collide. A group can have several companies. We do not fold Ltd into Limited and call it the same firm. We do not invent a number from a care-home name or a bidder's brand.

Logged out, Companies is one sentence. It does not list numbers. A company record needs an account. The number can still appear on a public page that already prints it, such as an Electoral row. Printing the number there does not open the company page to Google as a record.

One number, one company

Oracle Corporation UK Limited is company number 01782505. That sentence is the registered number. It is not a finding about a contract, a council, or a product. Any other company with Oracle in the name is a different number, if it is a different company. Read the number on the filing before you treat two names as one supplier.

The same habit applies to every supplier. If the PDF prints 01782505, you have that company. If the PDF prints only a brand, you have a brand in a paper. Contracts and spend is why the notice, the invoice, and the minute stay separate even when the brand is the same.

A worked example

Take a paper on Birmingham City Council that prints a company number in the supplier line. That number is what attaches. The words around it are context. Quote the number and the file.

Take a payment row that has a name and no number. Leave it as a name. An empty company field is not an invitation to pick the closest Companies House hit. Closest is how the wrong firm is accused.

What this is not

Copy the number with its leading zeros. 01782505 is not 1782505 in a careless note, even if both might display the same in a spreadsheet. The register uses eight digits. If a paper prints a shorter number, check you are not looking at a charity number, a VAT number, or an internal supplier code. Those are different identifiers and they do not attach a company here.

A group of companies can share a brand and not share a number. List each number you actually saw. Do not promote the best-known company in the group to stand for the subsidiary named on the invoice. The subsidiary is the one that was printed. When a paper says 'the contractor' after naming a brand once, go back to the first naming and see if a number was there. If it was, keep it beside every later use of the brand in your notes. If it was not, every later use is still just the brand. A table of suppliers in an appendix is a gift when it has a number column and a trap when it does not. Use the column that is actually on the page. Do not add a column of your own from memory. Memory is how 01782505 gets written next to a different Oracle company that happens to invoice in the same town. The digits are the whole safeguard. Write them down. When you publish, publish the number and the file, not a nickname for the supplier. Nicknames feel clear inside a newsroom and ambiguous outside it. 01782505 is clear outside it. The words Oracle Corporation UK Limited, next to that number, are clear. Either without the other is how a different company gets the sentence. Keep them together, as text, and do not turn the number into a link to a company record. The record is a signed-in page. The number in your sentence is enough.

It is not the whole Companies House register poured into the site. It is not a credit score. It is not proof a contract was improper because a number appears in a minute.
